01Who we are

The personal information handler for the Service is Hangzhou Wapai Technology Co., Ltd., registered at Room 7564, 7th Floor, Building 4, No. 88 Longyuan Road, Cangqian Street, Yuhang District, Hangzhou, Zhejiang, China. See Section 14 for contact details.

02Information we collect

We collect only what is necessary for the feature you use. Declining an optional feature does not affect the rest of the Service.

03How we use information

• To provide core features: scheduling, scoring, event management, match statistics, annual reports, leaderboards and skill ratings;
• To look up weather and show distance based on the venue you choose;
• To send service notifications, such as session or event updates, once you authorise them;
• To screen text you publish (nicknames, bios, messages) for unlawful content;
• To review suspicious scores and duplicate records, and handle corrections and complaints;
• To keep accounts and the Service secure and to fix faults.

We do not use your personal information for personalised advertising, and we do not sell it.

04Rankings and skill ratings

Leaderboards and skill ratings are calculated automatically. For transparency:

• Input: match results only — the players, set scores, date, and whether the match was singles or doubles. Win/loss records without scores are excluded;
• Not used: your profile (gender, region, bio, etc.) and location are never used to calculate ratings;
• Purpose: ratings indicate playing level and help match players and seed events. They are not used for marketing and never lead to different prices or terms;
• Correction: if you believe a result is wrong, submit a score-edit request or contact us. Affected rankings and ratings are recalculated after a correction;
• Ratings are for reference only and are not certified by any official body.

You may ask us to explain how ratings are calculated and may object to a rating result.

05Who can see what

• Leaderboards, event draws and schedules, the open session board: your nickname, avatar, level or rating, and results of matches you played are visible to users who can view those pages;
• Profile page: set to "Public" or "Players only" in Me. The default is "Players only";
• WeChat ID: a public-session organiser's WeChat ID is shown only to players who have joined that session; a player's WeChat ID and contact notes are shown only to that session's organiser;
• Posters and match cards: shared only when you generate and send them yourself.

We use the following providers, which process information only as needed to deliver their service:

07Our other product: Panda Tennis

Panda Tennis (熊猫剪球) is our tennis video editing app. If you sign in to Panda Tennis with the same WeChat account:

• the two products are linked to one account, and your sessions, schedules and scores are shown in both;
• videos you sync to the cloud in Panda Tennis and link to a match can be played on that match in Match Note, and are visible to users who can view that match.

Panda Tennis's handling of videos and related data is governed by the Panda Tennis Privacy Policy.

08Rating bodies and other partners

We currently do not provide your personal information to any external partner.

In the future we may work with tennis rating organisations or event organisers so that your results count toward their rating or competition systems. Such partners may be located outside mainland China. Before providing your information to a partner, we will tell you:

• the recipient's name and contact details;
• the purpose, the categories of information (for example your nickname, match results and scores), and how it will be processed;
• for transfers outside China, where the recipient is located and how to exercise your rights with them.

We will only provide it with your separate consent. Without it, nothing is shared. You may withdraw consent at any time, after which we stop sending new data to that partner.

09Storage and retention

• Your information is stored within the People's Republic of China;
• We keep your information while you use the Service;
• When you delete content, or ask us to delete your account data, we delete or anonymise the related information within 15 working days, unless the law requires otherwise;
• Match results also belong to your opponents' records. When your account data is deleted, the scores of matches you played are kept, but your identity is anonymised so other players' records and rankings are not affected.

10Security

• All data is transmitted over HTTPS;
• Databases and storage follow least-privilege access; API secrets are held server-side only;
• The operations console requires authenticated sign-in, and actions such as score edits are logged;
• If a personal information security incident occurs, we will notify you and report to the authorities as required by law.

11Your rights

• Access and copy: view your profile, sessions and matches in the Mini Program; contact us for a copy;
• Correct: edit your profile; submit a score-edit request for a wrong score;
• Delete: delete match reports or sessions you created, or ask us to delete them;
• Withdraw consent: turn off location, subscription messages and other permissions in WeChat under Settings → Privacy → Authorisation;
• Control visibility: set your profile to "Public" or "Players only";
• Delete your account data: Match Note signs you in with WeChat and has no separate account-closure button. Request deletion of all your Match Note data using the contacts in Section 14. Closing your account in the Panda Tennis app deletes Panda Tennis data only, not Match Note data;
• Explanation: ask us to explain this policy or how ratings are calculated.

We respond within 15 working days. If you are not satisfied, you may complain to the cyberspace or market regulation authorities.

12Minors

The Service is intended mainly for adults. Children under 14 may use it only with a guardian's consent and supervision. A guardian who finds that a minor has used the Service without consent may contact us to delete the information.

13Changes to this policy

We may update this policy and will publish the new version on this page with its update date. For material changes to purposes, categories of information or disclosure to third parties, we will notify you in the Mini Program and ask for consent again where required.
